Platform implementation

Coupa

We implement Coupa procure-to-pay, so requisitions, purchase orders and supplier invoices pass through one set of approval rules and every riyal or dirham of spend can be traced.

Three strands make up most Coupa projects: procure-to-pay, supplier collaboration and spend analytics, often for organisations that have outgrown email approvals and paper invoices. Approval chains follow your delegation of authority. In Saudi Arabia supplier invoices must meet ZATCA's Fatoora rules, and government purchases go through Etimad rather than a private platform, so the design marks clearly what Coupa handles.

Coupa is one multi-tenant platform, so delivery is configuration: commodities, chart-of-accounts segments, approval chains and catalogues, set up in a test instance and promoted after testing. Suppliers join through the Coupa Supplier Portal, which is free for them, and ERP integration usually runs through Coupa's APIs or scheduled flat-file exchanges.

How we implement Coupa

Design, build, integration and run-state support, with each decision recorded for your steering committee.

  • Blueprint and governance

Every requisition depends on the chart-of-accounts mapping, commodity codes and approval matrix, so these are settled with procurement and finance before the test instance is configured.

  • Catalogues and punch-out

Hosted catalogues and punch-out links to key suppliers' sites, so frequent purchases are picked rather than typed.

  • Invoice matching and tolerances

Two- and three-way matching rules and tolerances that let clean invoices through and send exceptions to the right buyer.

  • Spend visibility

Spend reports and dashboards by supplier, category and cost centre, built on data classified the same way in every entity.

  • Hypercare and managed support

Coupa issues three major releases a year, so we review each release's features against your configuration, test them in the test instance and switch on what the business agrees to. Between releases we handle approval chain changes, new suppliers and integration errors.

When the ERP purchasing module is too hard to use

Coupa makes sense when the ERP's own purchasing module is too hard for occasional buyers and suppliers, and procurement wants a usable front end for spend while the ERP keeps the ledger.

  • A delegation of authority matrix that procurement and finance both accept
  • Suppliers ready to receive orders and submit invoices online
  • One ERP or several, each with a clear chart of accounts
  • A procurement lead who owns catalogue content
